Job Description:
Legal Personal Assistant
*Contract Type: 12-month Fixed Term Contract (FTC)
*Location: London
*Working Hours: Full-time, 35 hours per week (9am-5pm)
*Job Type: Hybrid (3 days office-based)
We are seeking a Personal Assistant to join the Financial Services Regulatory team of a well established law firm on a 12-month contract to cover maternity leave. This role is ideal for someone with prior experience in a law firm or a regulated environment, who can efficiently manage administrative tasks and support our dynamic team.
Day-to-day of the role:
*Manage extensive diaries and email accounts, ensuring efficient scheduling and communication.
*Handle telephone calls, directing them appropriately within the organisation.
*Coordinate and arrange meetings, appointments, travel, and accommodation.
*Provide general administrative support including preparing memos, letters, invoices, and other documents.
*Liaise with clients, colleagues, and other Personal Assistants to maintain smooth operations.
*Attend meetings, record minutes, and monitor and process expenses.
*Organise dinners and social events, book meeting rooms or external venues as required.
*Maintain up-to-date team credentials, structure charts, and intranet sites.
*Update engagement letter templates and ensure client due diligence is current.
*Manage team annual leave schedules and circulate the weekly team bulletin.
*Update the team pipeline tracker and supervise junior secretarial staff.
*Liaise with HR regarding new starters and ensure all mandatory training and time recording are up to date.
Required Skills & Qualifications:
*Proven experience as a Personal Assistant, ideally within a law firm or a regulated environment.
*Strong organisational skills with the ability to multitask and prioritise effectively.
*Excellent communication and interpersonal skills.
*Proficiency in managing diaries, scheduling meetings, and handling administrative tasks.
*Ability to maintain confidentiality and handle sensitive information with discretion.
*Competence in Microsoft Office and other relevant software.
