Job Description:
Site Receptionist/Front of House
Permanent
Leek, Staffordshire
£25,000+
Working Hours: Monday – Friday 8.30 am – 4.30pm (flexibility would be required)
Main Responsibilities of the Site Receptionist
* Be the first point of contact for site visitors, provide a full reception service (including the management of incoming telephone calls), and ensure that the reception area and all other public areas of the site are clean, welcoming, and give an excellent first impression.
* Act as the main point of contact for all internal and external stakeholders (this includes customers, colleagues, suppliers, and visitors to the site).
* Provide support and co-ordinate on-site meetings and events in ways that ensures a meeting/event organiser receives the support that they require. This includes managing meeting room bookings, ensuring that meetings /events have the required equipment set-up and working, ordering, and setting the required refreshments, and when needed issuing and managing meeting invitations for the required attendees.
* When required provide support and manage the booking of external events and meetings (e.g. staff social events, external client meetings/events, hotel bookings for staff and/or customers if required etc.).
* Provide bespoke support to meeting/event organisers. E.g. preparing meeting agendas and handouts, preparing presentation slides, and if required taking meeting minutes.
* Act as a central point of contact for all site communications, facilities related issues (e.g. stationary, equipment orders, resolution of site facilities issues, concerns, and worries), and provide the relevant support for all on-site contractors (including access to health and safety briefings and advice to all employees and visitors as needed).
* Work with the management teams throughout the business to ensure that staff notice boards and LCD displays are kept up-to-date, and as required issue all staff/site communications and announcements.
* Working with colleagues ensure that all “public” areas of the site are clean, welcoming, and well maintained, and as required escalate issues to ensure that concerns etc. are mitigated/resolved timeously.
* As required provide discrete and confidential administration support to the Head of HR and Payroll, and as required provide ad-hoc support to facilitate HR meetings/hearings.
* As directed by members of management provide administration support for individuals and teams throughout the business.
* Any other reasonable tasks as requested by a member of management.
Experience and Skills required
* Minimum 2 years’ experience of working in a similar with a focus on delivering excellent customer service.
* Proven experience of GDPR regulations and the handling of sensitive and confidential information.
* Proven knowledge of delivering excellent customer service verbally and in writing.
* Proven excellent knowledge of the completion of general administration tasks.
* Excellent working knowledge of MS Office programs (including Word, Excel, Outlook, and PowerPoint).
* Excellent and proven verbal and written communication skills.
* The ability to develop meeting agendas, PowerPoint presentations, and written announcements/communication.
* Proven ability to complete administration tasks unaided and within the required deadline.
* Proven ability to manage and prioritise own workload and posses the flexibility to manage multiple tasks.
