Job Summary
The Administrative & Office Support Coordinator handles important organizational and clerical
support tasks while acting as a point of contact for employees and vendors. This position
ensures that all daily procedures run smoothly.
Duties and Responsibilities:.
? Greet and assist visitors upon arrival to the office.
? Ensure the reception area is clean, welcoming and presentable.
? Manage phone lines: directing, recording and answering messages as required.
? Provide executive assistance to senior staff members.
? Responsible for ordering business supplies.
? Ensure all visitors utilize sign-in security software correctly.
? Provide visitor and temporary passes and maintain security log.
? Assist in booking meeting rooms.
? File, sort and distribute mail and packages.
? Maintain adequate inventory of office supplies.
? Responsible for ordering select office lunches.
? Responsible for outgoing mail.
? Organize company documents into updated filing systems.
? Support the Facilities Team in implementing Health and Safety policies.
? Provide administrative support to ensure efficient operation in the office.
Working Conditions:
? Open working environment with moderate exposure to noise (business office with
computers, printers, light traffic, telephone calls).
? Ability to sit at a computer terminal for an extended period of time.
Qualifications and Skills:
? 1-3 years of reception/office administration experience.
? Exercise a high level of confidentiality when dealing with sensitive information.
? Highly organized and able to manage multiple tasks and projects simultaneously.
? Able to work well under pressure and respond to fast changing priorities and deadlines.
? Excellent verbal and written communication skills.
? Strong interpersonal relationship building skills.
? High accuracy and meticulous attention to detail.
? Able to work well under pressure and respond to fast changing priorities and deadlines.
? A strong team-player with the ability to engage with all levels of the organization.
? Technical competence using software programs, including, but not limited to, Google
Suite for business (Sheets, Docs, Slides).
? Entrepreneurial mindset and comfortable in a flat organization.
Education:
? High school diploma or equivalent experience required.
