Job Description:
Summary We are looking for a well-organised, confident and capable individual to join our Facilities Team on a fixed term basis as part of maternity cover. As a Business Services Coordinator, you will support both the Facilities Manager and the wider property teams with the compliance tasks required at Ickworth.
This is a fixed term contract due to end when the previous employee returns from maternity leave. At this point we cannot confirm exactly how long this contract will last, but it is unlikely to be more than 6/7 months.
Ickworth has recently reached a major milestone in its visitor number growth, seeing over 300,000 visitors in a calendar year. To ensure our property and facilities are aligned with relevant Health & Safety, Environmental and Fire & Security standards, we have an extensive and wide-ranging compliance task list.
This role will ensure these tasks are delivered as well as support our vision and masterplan for looking after our buildings and visitor infrastructure - delivering a wonderful experience for our staff and visitors, 363 days of the year. It is a mix of office-based and practical tasks, delivering on admin, compliance, and a variety of jobs within the department and across the property.
You will be based at Ickworth Estate, primarily working weekdays with some bank holiday and weekend cover required.

What you’ll be doing This is a dual role, both office based and practical working across the estate. With a core focus on compliance tracking for the property, managing volunteers and utilising National Trust systems and processes. You will be responsible for the core elements of the compliance programme within the Facilities Team and will deal with a broad range of administrative matters.
No two days will be the same as you deliver ongoing tasks alongside different priorities at different points in the year. Although you will be based in the Facilities Team, you will support on an ad-hoc basis several core tasks for the Business Services Co-ordinator (Property), when required.
An example of some of the tasks and responsibilities you will have in this role include:
* You will be responsible for supporting the FM and property in achieving compliance targets, recorded in the reporting system ’Vantage’. You will track other departments progress, and ensure the team are compliant with all tasks, such as legionella, fire risk, H&S, environmental management etc.
* Conducting and recording weekly/monthly/quarterly/annual compliance checks across the property and keeping accurate records and in date records at all times to provide to senior management and statutory authorities as requested.
* We have 7 volunteers split between 2 roles: compliance and maintenance. We are looking to expand these teams and the work they help support. Volunteer management is a key responsibility, as this role will lead and manage the workload and tasks of the compliance volunteers.
* Problem solving reactive issues through your own initiative and in collaboration with the Facilities Manager, Facilities Team and wider property, you will resolve these to ensure ongoing operational delivery of our buildings from the historic spaces to thee visitor receptions and toilets.
* Risk Assessments - both reviewing and writing these where required, as well as tracking and supervising others.
* Providing ad-hoc annual leave cover of several core tasks for the Business Services Coordinator (Property), when required.
