Job Description:
Document Controller
Full time, office based, 9am - 5.30pm
(Client will consider 3 or 4 days per week)
Our client is seeking a Document Controller who will be responsible for the timely, accurate, and efficient preparation and management of documents. You will control the numbering, sorting, filing, storing, and retrieval of both electronic and hard copy documents produced by technical teams, projects, or departments.
The role will include leading the document organisation for Commercial, IT & Operations, Finance, and HR business units. You will manage documents within an Integrated Management System, ensuring Quality Control and Quality Assurance of ISO27001 and ISO9001 frameworks and documents. You will create templates for various policies, processes, and controls across business units, including document control (formatting, version control, filing, and maintenance). You will also support Monthly Management and Board Meetings by taking minutes and ensuring information is prepared and accurate for reporting requirements. The role will also include the creation of templates for various policies, processes, and controls across the business units.
Responsibilities by Business Unit
Commercial You will be responsible for taking minutes at Monthly Management meetings and manage the Management Action Log. Proofread and sense-check Commercial Proposals, Final Reports, business, and marketing literature and manage the Commercial administration throughout the engagement lifecycle.
IT & Op’s You will be responsible for the control of document framework through the document process and procedures, the control of document matrix spreadsheet and SharePoint filing. You will control PandaDoc and Adobe processes and procedures and filing, create policy, process and procedure templates, support the four business units with policy, process and procedures documentation creation and enhancements, support and adhere to ISO9001 (Quality) and ISO27001 (Information Security) standards and also support the documentation migration into a new system (MS Dynamics).
Finance / procurement Control of finance policy, processes and procedures documentation.
HR Control documentation for onboarding and offboarding internal and external resources. Control the Health & Safety Policy and supporting processes and control documentation alongside Avensure portal and manage self.
Additional duties
Serve as Fire Marshall - (training provided)
Act as First Aider - (training provided)
People Management:
Promote policy, process, and control measures. Utilise a range of software, applications, and platforms, including email, spreadsheets, and databases, to support the efficient running of business units. Engage in Continuing Professional Development to maintain technical competence.
Skills
Excellent organisational, time-management and attention to detail.
Strong IT, administrative, research and management reporting.
KnowledgeofMicrosoftOfficeSuite(Word,PowerPoint,Excel,Outlook, SharePoint) is a must; familiarity with Pipedrive and QuickBooks is advantageous.
Flexibilityandadaptabilitytochangingworkload.
Ability to collaborate and lead, with confidence to motivate others.
Excellent interpersonal, oral and written communication skills.
