Personal Assistant/Executive Assistant  * Job Type: Full-time
* Location: Milton Keynes
* Salary: £35,000+
We are seeking a highly organised and proactive Personal Assistant to support our Directors. This role is pivotal in ensuring the smooth operation of the company by managing a variety of administrative and business support tasks. The successful candidate will also oversee a small property portfolio, making this a diverse and challenging position.
Day to Day of the role: * Handle correspondence and manage communication effectively on behalf of the Directors.
* Respond to phone calls, emails, and letters promptly.
* Assist with the preparation of internal communication such as newsletters and intranet content.
* Coordinate appointments, organise diary entries, and set reminders for important tasks.
* Liaise daily with the Directors to ensure a constant flow of communication and prioritisation of urgent tasks.
* Make travel arrangements and plan conferences, corporate, and social events.
* Support meetings by taking notes, preparing minutes, and ensuring agendas are communicated in advance.
* Maintain a high level of confidentiality and accurate record keeping.
* Assist the Directors with confidential personal matters.
* Provide HR administration support.
Property Management Administration Support: * Interact with external parties, such as clients and tenants, and build positive relationships.
* Manage expense reports and maintain an organised communication system for the Directors.
* Build positive relationships with prospective and current tenants, show properties, and answer queries.
* Ensure timely completion of maintenance requests and oversee facility maintenance and repairs.
* Assist with leasing units, handling tenant requests, negotiating leases, and preparing notifications for relevant authorities for entry and exit of tenants.
* Assist with servicing property meetings, including circulating papers and coordinating actions where required.
* Perform other assigned duties as necessary.
Required Skills & Qualifications: * At least 12 months experience in a Personal Assistant/EA role, supporting at executive level.
* Ability to maintain confidentiality at all times.
* Able to work under pressure and prioritise work to meet deadlines.
* Excellent organisational and time management skills.
* Strong rapport building skills to foster relationships with executives.
* Excellent written and verbal communication, time management, and project management skills.
* Proficiency in IT, particularly the Microsoft Office Suite.
* Full UK driving licence.
