PA – Operations and Finance Directors
£40,000 - £45,000
City (hybrid 2/3 office based)

Our client is an established professional services organisation looking for a proactive, and experienced PA to support three directors. You will have experience supporting multiple Directors, with ever changing diaries, proactively supporting with meeting management and travel internationally and domestic.

THE ROLE

* Coordinate the Directors’ schedules, understanding their hybrid working arrangements and taking these into consideration to effectively prioritise and manage meetings (including Board, Committee and Senior Leadership Team meetings).
* Make travel and accommodation arrangements for the Directors, ensuring they have all required information in advance (e.g. tickets, boarding passes, booking confirmations) and complete online check-in on their behalf ahead of flights.  
* Schedule meetings, coordinate attendees, prepare and distribute relevant documents or other materials, take minutes where required and ensure that agenda items and actions are completed.
* Act as a point of contact between the Directors and internal / external stakeholders where necessary. This may involve monitoring and managing email and telephone queries, liaising with the Directors or other members of staff, and ensuring any queries are dealt with promptly.
* Draft and/or edit reports, presentations and other communications on behalf of the Directors.
* Handle confidential documents and correspondence with tact and discretion.
* Plan departmental and team meetings and events (virtual and in person).
* Assist the Directors with managing their financial responsibilities by understanding their processes and liaising with the Finance team to resolve queries.
* Provide project management support to the Directors where necessary, helping to ensure efficient delivery. This may include tracking project progress, ensuring timely completion of tasks, circulating updates to project teams, and organising related meetings.
THE PERSON

* Previous experience working at Director level, supporting more than 1
* Ideally experience supporting within Finance, Operations, Risk departments
* Excellent organisational skills, ability to plan and prioritise effectively
* Strong interpersonal skills
* Problem solving skills, ability to anticipate
* High levels of professionalism
