Job Description:
CAREER SERVICES COORDINATOR
This is an exciting opportunity for a Career Services Coordinator to join a globally recognised London university on a temporary basis!
  
Based at the Careers Reception, you will be responsible for high level assistance with the organisation of a high-quality, professional administrative service to the Careers team and act as first point of contact to our students and alumni based on campus and globally.
  
CAREER SERVICES COORDINATOR ROLE:
* Being the main point of contact for all student enquiries by resolving, signposting or escalating issues where appropriate
* Managing the booking process for all student appointments from admitted students to alumni students via telephone, email and in person
* Organising and supporting small group exercises throughout the year by liaising with consultancies and student availability, including creating documents, booking rooms and diary management
* Developing an understanding of specialist signposting services and resources in the College and local area or region, keeping any relevant documents up to date with such resources
* Managing the full administrative tasks for all 18 Career Clubs, including booking catering, scheduling rooms, advertising events, managing facilities, creating relevant materials, arranging distribution of materials and arranging or purchasing of merchandise
* Supporting key Career Club activities with event management, including internal forums and external initiatives like celebration events and live inductions via IBConnect
* Dealing with queries via the Careers Club inbox by efficiently responding to all incoming queries and requests from club presidents, vice presidents and committee members
* Being responsible for monitoring the budgets of all 18 Career Clubs
* Tracking new member fees and aligning to correct career club
* Managing the expense process, submitting expenses and aligning expenses to the relevant Career Clubs
* Liaising with Career Club committee on budget availability to support in club events expenses for external speaker gifts, merchandise, catering, etc
* Journalling money transfers between budget codes ensuring alignment to the correct Career Club and monitoring their overall spend
* Managing IBConnect accounting book
* Raising purchase order numbers for miscellaneous departmental needs like facilities, team away days, travel and ad hoc requirements
* Being the department authoriser for raising all virtual credit cards
CAREER SERVICES COORDINATOR ESSENTIALS:
* Experience working at a higher education institution
* Experience working with data
* Willing to work 5 days in office
