A Finance company based in Cobham are on the lookout for a switched on and articulate Office Manager to join their growing team.
The client is looking for someone who has Office Manager experience, and who has strong organisational skill and to be prepared to work in a dynamic environment.
You will be overseeing 10 team members
The main purpose of an Office Manager is:
* Collating documentation and co-ordinating the quarterly board packs
* Managing minute trackers ensuring that meeting minutes are completed on a timely basis
* Ensuring files are up to date and chasing on minutes
* Preparing and reviewing minutes of board meetings
* Creating Excel spreadsheets for miscellaneous tasks
* Distributing minutes and other documents ensuring that they are signed on a timely basis.
* Liaising with third party service providers and administrators
* Working alongside the CFO to ensure the smooth running of the office
* General office management
* Liaising with third party service providers including accountants, lawyers, communication and IT service providers etc.
* Managing multiple internal systems and processes, completing data entry to ensure accurate collation of information
* Co-ordinating diaries for meetings / travel etc.
* Organising meetings for team members
* Ensuring health and safety standards are up to date
* Liaising with travel companies to organise travel plans for the team.
* Assisting with arranging flights/accommodation for team members.
* Maintenance of office supplies (e.g. stationery, toners, paper etc.) and stationery order etc.
* Documents scanning, filing, and archiving
Office Manager Specification:
* Strong attention to detail
* To have Office Management experience
* Highly numerate and comfortable working with figures and spreadsheets,
* Microsoft products especially PowerPoint, Word, and Excel
* Excellent communicator including with investors, clients and support service companies
* To be flexible and able to work to deadlines
* To have Financial Services or Professional Services background and hold a degree would be beneficial for this role.
