* Paying up to £16 per hour PAYE (£128 per day)
* Role based on-site in Paddington, London
Working for one of the most recognised names in Technology we have a fantastic part-time opportunity for an experienced Administrator to join their team in London.
This role is a long-term temporary contract through to June 2025. Working Mondays, Tuesday and Thursday on-site at their offices in Paddington, London
Working in a newly formed AI division is seeking a highly motivated and proactive site Business Administrator to provide on-site support for their Engineering organization located in Paddington.
This role will support the execution of site events, Leadership Team visits, employee programs, as well as creating a vibrant and inclusive culture. There will be a heavy focus on workplace/facilities/events support for the teams located in London. It is also expected from the role to help hiring managers onboard/offboard employees, submit PO’s and goods receipt, review site budget and expenses as well as other ad-hoc projects (e.g. off-sites, speaker events).
The ideal candidate for this role will need to:
* Have minimum 3 years+ experience working in an administrative support capacity in a fast-paced environment.
* Ability to react with appropriate urgency to situations and requests.
* Personable and approachable.
* Experience working with a large geographically distributed team including remote employees.
* Be able to navigate smoothly and change directions quickly within a fast-paced environment.
* Stellar interpersonal skills, drive, initiative, and proficiency will be key to success.
* They must also demonstrate good judgment, ability to maintain confidentiality, set priorities and be confident in handling multiple tasks simultaneously.
* Working with multiple teams it will be imperative to communicate clearly and
* effectively.
* Being detail oriented and having consistent and timely follow-through will be
* Essential to succeed in the role.
* Be proactive in nature and become a vital, trusted member of our tight-knit team, and example of cultural alignment and the highest professional standards.
Responsibilities include but are not limited to:
* Coordinate both virtual and in person events. Taking ownership in areas including: catering, venue selection and logistics for internal events, off-sites, morale events, large scale meetings and celebration events for teams.
* Being the point of contact for the AI teams in London for their on-site support
* Liaising with partner teams such as IT and Facilities on support areas such as hardware tracking, space planning, office updates and changes and facilities requests.
* Daily management of access requests to the engineering floors in partnership with the Security team
* End to End support for the Procure to Pay Process for supplier payment including PO creation and Budget Tracking.
* Manage end-to-end procurement as well as distribution process for swag items
* Cross collaborating, planning, and support including site governance meetings, LT meetings, Focused Initiative groups and other group meetings as needed.
* Maintaining Distribution lists, security groups and organizational charts for the teams.
* Assist with other projects as requested by your line manager or Leadership.
