Job Description:
Blue Arrow are looking for an Administrator to join one of our Public Sector clients. Our client is based in Cambuslang, this position is hybrid, with only 1 day in the office. 35hrs per week. This is a temporary assignment for 8-12 weeks.
This role involves providing comprehensive administrative support, managing POD services, and ensuring efficient people administration for our client.
Key Responsibilities:
* Administer POD services, including handling disciplinary processes, maternity/paternity arrangements, contract variations, and more.
* Support and advise Line Managers and POD colleagues on personnel movements.
* Prepare contracts of employment and variations in collaboration with HR Advisors.
* Coordinate and administer all personnel movements across the organization.
* Manage appointments, personnel movements, and allowances within the HR Payroll System (I-Trent).
* Assist with I-Trent month-end checks and report accuracy.
* Manage pension scheme assignments and updates.
* Process purchase orders, goods receipts, and invoices using the Financial System (Tech One).
* Provide general administrative support, including word processing, mail processing, and meeting arrangements.
* Maintain knowledge of employee terms and conditions to respond to queries.
* Maintain filing systems and personal records in compliance with Data Protection legislation.
Essential Criteria:
* Experience in a busy administrative environment
* Excellent verbal and written communication skills
* Strong organizational skills and attention to detail
* Experience handling personal and confidential data
* Proficient in IT packages (e.g., Office 365)
* Experience in data handling and basic analysis
Desirable Criteria:
* Knowledge of HR/Payroll Systems, recruitment portals, and financial systems
* Experience in Payroll, Finance, and HR processes
* Note/minute-taking skills
* HNC in Business Administration or equivalent
* Willingness to travel for meetings and training
