Job Description:
Project Administrator / Student Voice Coordinator with excellent administrative skills, demonstrable planning and organisational ability and a positive approach is required for a well-established organisation based in Coventry, West Midlands.
SALARY: £27,128 - £30,349 per annum + Excellent Benefits (see below)
LOCATION: Coventry, West Midlands - Hybrid working with 1 day working from home each week can be offered
JOB TYPE: Full-Time, Permanent
WORKING HOURS: 36.5 hours per week, 8.30am - 4.30pm Monday to Thursday and 8.30am - 3.30pm Friday.
Flexibility of working hours is reasonably required from time to time to meet the requirements of the post. This includes occasional evenings and weekends.
JOB OVERVIEW
We have a fantastic new job opportunity for a Project Administrator / Student Voice Coordinator with excellent administrative skills, demonstrable planning and organisational ability and a positive approach.
Working as a Project Administrator / Student Voice Coordinator your key focus will be to nurture and develop relationships with Post Graduate and International Students, elected Officers and colleagues to coordinate and support the effective delivery of project plans.
As a Project Administrator / Student Voice Coordinator you will provide coordination and administrative support to all areas of the organisation in an inclusive and effective manner.
DUTIES
Your role as a Project Administrator / Student Voice Coordinator will include:
* Coordinate, oversee and ensure room bookings and venue hire
* Produce agendas, minutes and relevant papers for all meetings and ensure that all relevant information and minutes are posted online
* Attend faculty meetings to take minutes, provide support to course representatives, monitor performance and track key issues and progress
* Collect and maintain an online filing system of minutes and agendas
* Collaborate to write, develop, and deliver the training to Course Representatives and assist in the creation and editing of any promotional materials
* Ensure sections of the website and other web-based and physical resources dedicated to student voice and democracy are up to date, accurate and relevant to students
* Provide regular progress reports on achievements and identify key issues
* Be responsible for maintaining and updating Council, Committee and Part-Time Officer contact information
* Assist in the organisation and delivery of the Students’ Union Awards
* Develop a comprehensive understanding of the governing documents, democratic policies and resolutions, democratic systems and procedures
* Advise on correct democratic procedure, policies, protocol and convention
* Liaise with the Finance Department to administer the allocation of Grant Funding
* Provide analytical information on candidates and turnout in order to widen participation in democratic activity
CANDIDATE REQUIREMENTS
Essential
* Commitment to and knowledge of membership organisations
* Strong demonstrable planning and organisational skills
* Excellent administrative skills
* Ability to record accurately and succinctly the outcomes and decisions made at democratic meetings
* Versatility and ability to find workable solutions
* Good interpersonal skills and a passion for working with Post Graduate and International students in an approachable and welcoming demeanour
* Good written and verbal communication skills
* Knowledge and competence with Microsoft Office applications and excellent IT skills in general
* Good team working skills
* Tact, diplomacy and ability to work securely with confidential information
* Ability to keep abreast of the current issues facing the sector
* A positive approach to diversity and equality of opportunity issues
* Ability to work effectively and impartially in a student led, democratic environment
Desirable
* Knowledge and experience of working in a charitable organisation
* Report writing skills and a knowledge of plain English writing
* Experience and knowledge of coordinating training events
* Knowledge of and preferably experience of working in Higher Education
