Location: NW3 5HTPosition: Receptionist/Office ManagerSalary: £29,000 per yearHours: 09:30 - 18:00, Monday to Friday Are you a highly organised and proactive individual who thrives in a dynamic office environment where no two days are the same? My client is seeking a dedicated Receptionist/Office Manager to join their team. This role is vital in ensuring the smooth operation of the office and providing top-notch support to the office team and visitors.
Key Responsibilities: * Administrative Support: Collaborate with Directors, the CFO, and the Accountant to efficiently handle various administrative tasks.
* Front Desk Management: Act as the primary point of contact for the office. Operate the switchboard, greet guests, provide refreshments, and arrange taxi services as needed.
* Correspondence Handling: Collect and distribute mail, send documents via the post office, and coordinate long and short-haul courier services.
* Office Organisation: Oversee filing, shredding, and the maintenance of office records.
* Fleet Management: Monitor the company’s fleet of cars, remind management of upcoming MOTs, and ensure road tax deadlines are met.
* Insurance Administration: Manage timely payments of family life insurance policies.
* Expense Management: Reconcile monthly company expenses charged to the company card.
* Sage Accounting: Regularly post purchase invoices for the real estate company, manage admin for the entity, remind tenants of due payments, record incoming rent payments bi-weekly, and coordinate with management.
* Staff Welfare: Plan, order, and serve daily staff lunches and beverages. Re-stock snacks and water bottles, and coordinate with the office cleaner to maintain a comfortable work environment.
Qualifications: * Proven experience as a receptionist, office manager, administrator or similar role.
* Proficiency in using Sage accounting software is a bonus.
* Excellent organisational and multitasking abilities.
* Strong communication and interpersonal skills.
* Attention to detail and problem-solving skills.
* Ability to handle confidential information with discretion.
* Proficiency in Microsoft Office Suite.
