Responsibilities Include:
This is an administrator role overseeing the move in file progression for Tenancies Company wide as well as assisting the Head of Lettings in day-to-day operations and special projects such as preparing to go paperless & shifting to new a CRM platform.
As the lettings administrator you will be responsible for ensuring all tenancies move in smoothly taking care of the process from the point of an offer having been agreed by the negotiators and all initial offer paperwork is handed over.
During peak times the lettings administrator will be required to processes between 40 and 50 move-in files for all new lets at a time, ensuring Tenants and Landlords receive the best possible care. There can be anything between 10 and 15 new tenancies to progress per week. The role is primarily to ensure all necessary documentation and payment is received including preparation of Tenancy Agreements and all corresponding legal documents and resolve any issues, which arise.
The Lettings administrators handle the drawing up all contracts, guarantor agreements, standing orders and ensures all other aspects of each file has been concluded in a timely manner to ensure all legislative requirements are met and tenants are ready to move into their new homes well in advance of the actual move date.
Resolve queries raised by landlords and tenants in relation to the tenancy and file progression.
The role includes Co-ordination of multiple parties including various contractors to carry out necessary works and safety inspections to prepare for each tenancy.
The successful candidate will control reference acquisition though a third party reference company in a timely fashion as well as ensure all finances and move in funds are received.
To meet with and explain the move in process to Tenants prior to move in. To arrange pre tenancy works which are conditional with the offer by co-ordinating with either thelandlrod or property management team. To support the Negotiators and Manager in their roles.
Experience
The role would ideally suit someone with one to two years in the industry, with a broad knowledge of Lettings and relevant legislation relating to the necessary associated paperwork they will be required to process. You will be able to demonstrate your ability to multi-task and tackle as many as up to 40 to 50 move in files simultaneously whilst maintaining a calm demeanour and have no reluctance to handle difficult situations.
Hours & Location
08.45 to 18.00 Monday to Friday
Salary: £28k - £32k depending on experience
