Position: In-HouseCompany Secretary Assistant
Salary: Up to £35,000.00 per annum plus benefits
Location: Central London (Hybrid Working: 3 Days Office-Based)
Company Secretary Assistant opportunity based in Central London.
Key Responsibilities:
* Board and Committee Support: Assist in the Secretariat function, including supporting the preparation of group company boards and governance committees. Ensure timely submission of reports to the boards and Executive Committee.
* Corporate Filings: Ensure corporate filings with regulatory bodies (e.g., Companies House) are kept up to date.
* Compliance Administration: Manage the collation and administration of internal compliance guidelines, toolkits, and packaged knowledge on legal issues such as anti-bribery, data protection, and competition law.
* Regulatory Support: Assist with legal and regulatory changes, providing advice and assistance to group company boards and senior managers on key issues.
* Filing System: Develop and maintain an effective filing system for both hard copy documents and electronic correspondence, ensuring quick retrieval of requested files.
* Administrative Processes: Develop and maintain robust administrative processes and provide a high-quality administrative service.
* Communication: Handle incoming telephone calls efficiently and courteously.
* Meeting Organisation: Organise and attend group company boards and committee meetings as appropriate, ensuring accurate minutes are taken and reported, and actions are delivered.
* Correspondence: Prepare written correspondence with a high standard of English and proficient use of MS Office (Word and PowerPoint).
* Office Procedures: Act as a focal point for queries regarding day-to-day office procedures and liaise with facilities to support the Legal Department.
* Relationship Building: Develop effective working relationships with internal and external contacts.
* Ad-Hoc Support: Provide administrative support to the Legal Director & Company Secretary on an ad-hoc basis related to Company Secretary activities.
Skills and Knowledge:
* Background: Ideally holds a degree in Law or a similar discipline with exposure handling Company Secretarial work.
* Communication Skills: Highly developed verbal and written communication abilities.
* Organisational Skills: Excellent organisational, time management, and prioritisation skills.
* Problem-Solving: Ability to troubleshoot and provide solutions with sound judgement.
* Technical Proficiency: Proficient in using Microsoft Office applications such as Outlook, Word, PowerPoint, Excel, and Microsoft Teams.
* Multi-Tasking: Ability to multi-task, work to deadlines, and meet timescales.
* Adaptability: Ability to be flexible, adapt to change, and act with urgency.
* Teamwork: Strong communication skills and a team player who builds strong relationships within and outside the business.
* Planning & Organisation: Displays well-developed planning and organisational skills.
* Attention to Detail: Pays attention to detail and focuses on ensuring quality.
