Job Description:
Our client is hiring for a Lettings Accounts Assistant
The Lettings Accounts Assistant will support the Lettings Accounts team in managing a portfolio of residential and commercial properties. This role is crucial for ensuring the smooth running of the financial aspects of our property management operations.
The successful candidate will be responsible for:
* handling client accounts
* processing payments
* providing excellent customer service to landlords and tenants
* Financial Administration
* Monitor rent payments and manage arrears
* Reconcile payments, ensuring all transactions are correctly recorded
* Approve unreconciled payments, ensuring correct reference numbers for payments
* Manage maintenance invoices
* Collect property information and create invoices
* Split and allocate deposit payments on required systems
* Process council property payments Client Relations:
* Process council property payments
* Handle enquiries from landlords and tenants
* Resolve disputes or issues promptly and professionally
* Send landlord owner statements and payment advice statements
* Negotiate changes in rent due dates with tenants and landlords
* Discuss serving notice and prices with landlords for tenants in arrears
Tenancy Management:
* Set up new properties, tenants, and landlords in the system
* Manage move-out processes and update relevant systems, liaising with the Property Manager if in arrears
* Send rent reminders
* Handle rent increases and update relevant systems Account Queries:
* Address account queries from landlords, tenants, or staff needing accounting information Amend accounts by debiting or crediting
* Identify payments without reference numbers and manage them accordingly
* Manage changes in rent due dates, negotiating with tenants and landlords
* Manage rent increases and update relevant systems
General Administration
* Maintain accurate records of all letting’s activities
* Ensure all data is managed in accordance with GDPR regulations
* Support with ad hoc enquiries as needed Email Management:
* Manage emails across company systems.
* Approve unreconciled payments
* Handle invoices and rent reminders
* Manage arrears Additional Responsibilities:
* Help set up and pay deposits
* Chase outstanding invoice payments
* Set up new contractors as needed
* Handle call enquiries related to accounts and property management
* Send landlord owner statements when requested
* Process council property payments
* Assist team members with queries and tasks as needed
* Chase up rental payments and forward tenant statements
* Provide support for tasks forwarded by the Director/Manager
Knowledge, skills, experience and aptitude required:
* Minimum of GCSE’s (or equivalent) in Maths and English.
* Excellent communication and negotiation skills
* Strong organisational skills with the ability to manage multiple tasks simultaneously
* Attention to detail and accuracy in work
* Proficiency in Microsoft Office Suite
* Problem-solving mindset and willingness to learn
