Secretary

Secretary / Administrator required for financial services clinet to include all administration duties for the Partners/Advisors of the firm and work well as part of a team. You’ll be involved with the co-ordination and implementation of office procedures and will frequently have responsibility for specific projects and tasks. The majority of your work will involve both written and oral communication, word processing/typing and dictation, and requires relevant skills such as IT as well as the ability to multi-task and work well under pressure.
Tasks

As a secretary, you’ll need to:

* Be proficient at dictation – audio and copy type
* Proficiency in Microsoft - Word/Excel/PowerPoint/Outlook
* Use our internal management system – CCH (Training required)
* Use and understand the CCH billing system/month end billing required (Training required)
* Understand our Anti Money Laundering (AML) procedures and work closely with our AML officer (Training required)
* Deal with telephone and email enquiries
* Photocopy/print/scan various documents
* Organise and file paperwork
* Manage filing system/archiving of files
* Sort and distribute incoming post
* Send outgoing post with the use of a franking machine
* Keep diaries for all Partners and arrange appointments
* Set up Zoom/Team calls
* Schedule and if necessary, attend meetings, create agendas/take notes
* Liaise with external contacts, clients/suppliers
* Help with arrangements of in-house and external events and attend, if necessary
* Help and support your team and the office manager
Skills

You’ll need to have:

* Proven work experience as a Secretary, Administrative Assistant or Personal Assistant
* Team working ability
* Good time management
* Good communication skills, written and verbal
* Good self-motivation
* The ability to plan/prioritise your own workload, use your initiative and meet deadlines
* Tact, discretion and respect for confidentiality
* The ability to manage pressure and conflicting demands
* A pleasant, confident telephone manner
* Strong organisational skills
* The ability to accept and understand instructions
* A bright and positive attitude
* Reliability and honesty
