* Job Type: Full-time
* Working Hours: 08:45 – 16:45, Monday to Friday
We are currently seeking a dedicated Receptionist to join our team, providing a professional front-of-office reception service to both employees and guests. This role also includes providing administrative support to the Executive Assistant (EA) team as required. The position is office-based, with core working hours from 08:45 to 16:45, five days a week.
Day to Day of the role: * Greet and welcome guests upon arrival at the office, ensuring a friendly and efficient hand-off to EAs or colleagues.
* Answer reception telephones and effectively direct callers to the appropriate contact points.
* Serve as a liaison for the London building office entry reception to quickly resolve any guest or employee entry issues.
* Manage the presentation of the Reception area and meeting rooms, reporting any issues to facilities for resolution.
* Conduct daily checks to ensure meeting room and IT equipment functionality, liaising with IT for prompt resolution of any technical problems, especially in the Board-room.
* Maintain a general issues log for reception and meeting rooms, reporting weekly on outstanding issues to the Lead EA.
* Manage the reception desk email inbox, resolving or directing issues as needed.
* Oversee the meeting room diary, resolving scheduling conflicts and collating room requirements to meet needs.
* Provide administrative support to EAs, including assistance with diary and expense management.
* Perform additional duties as assigned and escalate ongoing concerns to the Lead EA or Head of HR.
Required Skills & Qualifications: * Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
* Strong interpersonal and communication skills.
* Exceptional attention to detail and organisational skills.
* Ability to multitask and manage time effectively, prioritising tasks as needed.
* A collaborative and proactive approach to work.
* Familiarity with relevant regulatory and legal requirements applicable to the position.
