Job Description:
We a are supporting a company based in central Bristol, who are looking for an administration assistant to join their team. They are seeking a proactive and solution-focused individual to provide comprehensive support to the sales and client services teams. This role involves processing bookings, invoices, and documents for customers, while adhering to deadlines and ensuring accuracy in all details.
Key Responsibilities:
* Process bookings for the sales team, ensuring accuracy and chronological order, and addressing discrepancies.
* Liaise with suppliers and clients as needed.
* Keep sales consultants informed about booking activities.
* Assist Operations Manager in coordinating administration, updating client profiles, and submitting group manifests.
* Collaborate with all operational areas to ensure smooth workflow of bookings.
* Provide revised documentation when necessary, such as amended itineraries and cancellation invoices.
* Prepare relevant documentation, including itineraries, invoices, and guidance notes.
* Ensure proper document dispatch using appropriate delivery methods.
* Update CRM with special request information and notify suppliers accordingly.
* File and store documentation according to company processes.
* Manage company email inboxes, distributing and actioning as appropriate.
* Perform quality control of documentation.
* Conduct general office administration.
* Maintain and report on guidebook and map stocks.
Person Specification
* Excellent interpersonal and communication skills, with strong verbal and written abilities.
* Good numerical and analytical skills.
* Proficient in Microsoft Office suite.
* Strong organisational skills with good time management, ability to prioritise, and work under pressure.
* High attention to detail
* Positive, enthusiastic, and helpful with a commitment to excellent customer service.
* Strong relationship-building skills, able to work with a diverse range of clients.
* Good team player driven by team and individual success.
