We are working with Barnsley Healthcare Federation (BHF) who have an opportunity for an enthusiastic and dedicated Central Administration Apprentice to join their Central Administration Team.
 
This Administration Apprenticeship is designed to provide foundational knowledge and skills relevant to the Healthcare industry whilst allowing you to develop professionally.
 
Duties will include assisting in day-to-day operations, supporting staff and communicating with patients. As an Apprentice, you will be mentored by fellow team members and will be expected to learn quickly, show initiative, and adapt to different tasks.
 
DETAILS
* Job Title: Central Administration Apprentice
* Location: BHF Priory Centre, Pontefract Road, Barnsley, S71 5PN
* Salary: £6.40 per hour
* Shifts: Working Monday to Friday on a 2-weekly rota: 8am-4pm / 9am-5pm / 10am-6pm
* With a requirement to work one weekend shift per month on a rotational basis.

Role Overview:
As Central Administration Apprentice, your role will be to deliver comprehensive administrative support to help facilitate the delivery of a resilient, high quality Primary Care to people of Barnsley.
 
Your responsibilities will include:
* Assist with managing email inboxes, ensuring timely responses and appropriate delegation.
* Manage and monitor office supplies, ensuring availability and ordering as necessary.
* Handle document scanning and electronic document management, ensuring proper filing and accessibility.
* Coordinate and schedule meetings with colleagues, managing calendars effectively.
* Answer patient phone calls, providing guidance and directing them to the appropriate healthcare services.
* Respond to general enquiries through email, face-to-face interactions, telephone, and written correspondence with sensitivity, promptness, and professionalism, ensuring all communications adhere to BHF policies, reflect the organisation’s standards, and maintain confidentiality.
* Provide reception coverage as needed, welcoming patients, booking appointments, and responding to queries with courtesy and efficiency.
* Handle incoming calls, directing them appropriately, booking them into healthcare services and providing clear information to patients.
* Organise daily schedules and staff rotas within clinical systems, ensuring smooth operations.
* Manage referral requests from general practices, coordinating with various healthcare services as needed.
* Complaint and Feedback Management: Support the team in logging and handling patient complaints, ensuring that concerns are addressed promptly and in line with organisational procedures.
* Maintain accurate records and filing systems, ensuring that all information is easily retrievable and securely stored.
* Conduct regular audits of records and documentation, identifying any discrepancies and escalating to the relevant managers.
Qualifications & Experience Required:
* 5 or more level 2 qualifications (GCSE level or equivalent) at 9-4 (A* to C) including English and Maths
* Ability to demonstrate a good level or verbal and written communication skills
* Competent IT skills and experience of learning and working with new systems
* Clear communication skills, both written and verbal
* Excellent organisational and time management skills
* Attention to detail, working with care and accuracy
* Knowledge of basic medical terminology is desirable
* Experience of working in an administrative role and/ or customer focused role is desirable
