Job Description:
Position: Document Control Coordinator
Location: London, W1F 7PW (On-Site)
**About the Role:**
This position involves supporting regulatory administrative functions related to product information documents for global compliance and registration. The role includes collaboration with the Product Development Team and various cross-functional departments in areas concerning quality assurance and additional projects as assigned.
**Key Areas of Responsibility:**
• **Document Control**
- Manage both internal and external documents, including all technical documentation such as Certificates of Analysis (COA), testing reports, Safety Data Sheets (SDS), etc.
- Review and ensure that documents are current and accurate.
- Organize and file documents in both physical and digital formats.
- Maintain confidentiality and protect sensitive proprietary information, including reports and certifications.
- Prepare progress reports on projects.
- Maintain product information and assist in updating lists shared with the Product Development and cross-functional teams.
- Verify the completeness and format compliance of documents.
- Coordinate the submission, review, and filing of third-party testing reports as required.
- Log and record formula changes and their progress.
- Perform additional responsibilities as assigned.
• **Quality Assurance**
- Assist the Quality Department in maintaining documents, coordinating testing, ensuring standards are met, and retaining samples.
- Help update logs as necessary.
- Support the creation of mockups and the routing of artwork.
- Undertake other responsibilities as required.
**Qualifications, Relevant Skills & Attributes:**
- Exceptional organizational skills with strong attention to detail and a process-oriented mindset.
- Proficient typing and proofreading abilities.
- Excellent time management skills and attention to detail.
- Strong interpersonal and communication skills, both verbal and written, with the ability to convey information clearly, focused, and concisely.
- Proficient in Microsoft Office, specifically Outlook 365.
- Experience in the beauty industry and product registration is advantageous.
- Ideally, 1-2 years of experience in skincare or color cosmetics production/document control.
- A bachelor’s degree or equivalent experience is preferred.
- Ability to build and maintain effective relationships with both internal and external stakeholders to facilitate clear communication regarding project needs.
- Demonstrated proactive problem-solving skills with a focus on proposing smart solutions.
- Comfortable working under deadlines with a high sense of urgency and accountability.
