Job Description:
Our client in the entertainment industry are seeking a highly organised and dedicated Department Administrator Assistant to support the Operations and Events departments. This key role will involve managing cross-departmental tasks, ensuring deadlines are met efficiently, and maintaining the smooth flow of information and processes within the office.
Key Responsibilities:
*Respond to generic email inboxes and direct inquiries to the relevant department/person.
*Liaise with suppliers to procure rates and terms, and create comparison spreadsheets.
*Generate quotes and follow up with clients (training provided).
*Crosscheck and reconcile supplier invoices with system data.
*Generate supplier statements and update our system with supplier documents and licenses (training provided).
*Upload client booking data and confirm bookings onto our system (training provided).
*Perform general office admin tasks including answering phones, monitoring email inboxes, printing, scanning, filing, shredding, and restocking admin supplies.
*Manage Amazon orders and other office supplies as needed.
Candidate Profile:
*Highly organised with a keen attention to detail.
*Dedicated and enthusiastic team player with a commitment to excellent customer service.
*Proficient in Microsoft Excel, Word, Outlook, and Adobe Pro.
*Strong email management and organizational skills.
*Fluent in English with excellent written and verbal communication skills; additional languages, especially French, are a plus.
*Capable of working at a fast pace with minimal supervision and managing multiple tasks efficiently.
*Resourceful and thoughtful in handling both expected and unexpected situations.
*Must have the right to work in the UK. A DBS check will be arranged for the final candidate.
Training: Comprehensive training will be provided on their bespoke software systems and specific job functions.
