Job Description:
Our excellent client, in the non-profit sector, is looking for a temporary Office Manager to join the team whilst they recruit a permanent member of staff.
Reporting to the CEO, your main responsibility will be to ensure the efficient and effective running of the office, to ensure high-quality management of all data systems, as well as to provide admin support to the CEO/board and wider office team.
Main Responsibilities
- Oversee office health and safety, performing routine checks and reporting issues.
- Manage office supplies and all supplier contracts.
- Ensure that all service activity is recorded, monitored and evaluated to meet regular deadlines.
- Oversee data storage systems and data backups, ensuring compliance with privacy regulations.
- Prepare reports for stakeholders and support casework management system.
- Respond to all phone and email enquiries, managing all inboxes.
- Coordinate and analyse client feedback from surveys.
- Handle client referrals, making initial contacts and logging on internal systems.
- Process invoices and manage petty cash (including disbursements and reconciliation).
- Oversee recruitment (staff, volunteers and trustees), including managing the DBS process.
- Administration including meeting minutes.
- Manage and distribute all publicity information.
- Any other ad-hoc duties as required by the organisation and team members.
Key Attributes:
- Post is restricted to women under Schedule 9, Part 1, Equality Act 2010
- Must have a current Enhanced DBS.
- Must be able to handle sensitive topics.
- Key awareness of GDPR.
- Previous office experience.
- Confident in computer skills.
Hours: Monday - Friday (full or part time, 30 - 37 hours per week)
Salary: Up to £30k per annum (pro rata)
