International Shipping Coordinator
Our client is seeking a highly organised International Shipping Coordinator to join their established team at the UK headquarters. This role requires an efficient and detail-oriented individual who can confidently handle all aspects of international shipping, customs documentation, and logistics. The successful candidate will play a critical role in ensuring smooth import and export operations, maintaining high standards of customer service, and supporting cross-department collaboration.
Key Responsibilities: *End-to-End Shipment Management: Oversee all import and export shipments, ensuring timely and accurate handling from dispatch to delivery.
*Freight Rate Negotiation: Obtain and negotiate competitive freight charges, ensuring value while maintaining high service standards.
*Customs Compliance: Maintain up-to-date and accurate HS Codes, managing compliance with international regulations.
*Documentation Preparation: Create, verify, and manage import/export documentation, including certificates of origin and customs paperwork.
*Customer Service & Reporting: Maintain clear communication with customers and internal teams, providing regular updates on shipment statuses.
*Internal Collaboration: Work closely with the Operations Manager, Purchasing Administrator, Warehouse Manager, and other departments to ensure coordinated shipping schedules and efficient logistics.
*ERP & MS Office Proficiency: Update ERP system with critical shipment details, including delivery times, HS codes, and other shipment notes. Create and manage shipment summary spreadsheets.
*Despatch Scheduling: Coordinate and schedule dispatches in collaboration with Warehouse and Freight Agents.
*Pre-shipment Inspections: Organize inspections as required, ensuring compliance with customer and regulatory requirements.
*Collection & Delivery Coordination: Arrange collection and delivery of goods, providing instructions to freight forwarders and couriers.
*Certificate Applications: Work with the purchasing administrator to gather necessary documentation and apply for certificates of origin and other required shipping documents.
*Continuous Improvement: Contribute ideas and feedback to enhance team best practices and overall shipping efficiency.
Required Skills & Qualifications: *International Shipping Expertise: Proven experience in managing international shipments, including knowledge of import/export regulations and documentation.
*Attention to Detail: Highly organized with a strong focus on accuracy and detail in all aspects of logistics and record-keeping.
*ERP and MS Office Proficiency: Competent in using ERP systems and skilled in MS Word and Excel for documentation and reporting.
*Effective Communicator: Ability to work effectively within a small, collaborative team, providing input and insights as needed.
*Resilient Under Pressure: Able to handle deadlines and shifting priorities in a fast-paced, logistics-focused role.
*Customer Service Mindset: Committed to providing a high level of customer service, with a proactive and solutions-oriented approach.
