About Our Client
Our Client is seeking a highly skilled Conveyancing Secretary to join their conveyancing team. This is a full-time role, offering a competitive salary based on experience.
About the Role
The successful candidate will play a crucial role in supporting the fee earner to maximize their focus on providing legal services to clients by handling administrative tasks efficiently. This position is client-facing, making it essential for the candidate to be a confident communicator who can engage with clients and other staff members sensitively, professionally, and proactively.
Key Responsibilities
- Audio typing, sending out letters, emails, and faxes.
- Preparing and drafting documents (from audio dictation).
- Photocopying, printing, scanning, and organizing couriers.
- Opening and closing files.
- Handling internal and external telephone queries, ensuring messages are passed on in a timely manner.
- Monitoring post and emails, dealing with correspondence as appropriate.
- Dealing with basic queries and general administration tasks.
- Preparing bills and assisting in the billing process by liaising with fee earners and the accounts department.
- Requesting cheques, bank transfers, and paying in received money as required.
- Providing reception cover when necessary.
- Preparing and amending legal documents such as lease extensions, deeds, completion statements, and Land Registry forms using the Land Registry portal.
What We Are Looking For
- Excellent communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks effectively in a fast-paced environment.
- Experience in legal secretarial work, particularly within conveyancing, is preferred.
