Key Responsibilities:
*Administrative Support: Deliver comprehensive support to multiple team members, including calendar management, meeting coordination, and travel arrangements.
*Document Management: Prepare, edit, and format documents, presentations, and reports with high attention to detail. Ensure all documentation is accurate and professionally presented.
*Meeting Coordination: Organize internal and external meetings, conference calls, and events. Handle logistics, prepare agendas, and take minutes where necessary.
*Communication Management: Act as the first point of contact for the team, managing incoming calls, emails, and correspondence. Ensure prompt and efficient communication with stakeholders.
*Project Support: Assist with team projects by coordinating tasks, tracking progress, and supporting project timelines to ensure successful completion.
*Office Management: Support day-to-day office functions, including ordering supplies, managing expenses, and maintaining organized filing systems.
*Stakeholder Engagement: Build and maintain strong working relationships with clients, vendors, and internal teams to facilitate effective collaboration.
*Ad Hoc Tasks: Handle additional administrative tasks as required, demonstrating flexibility and a willingness to take on new challenges.
Required Skills and Experience:
*Proven experience as a Team Assistant, Administrative Assistant, or similar role in a fast-paced professional environment.
*Strong organizational and multitasking abilities with excellent attention to detail.
*Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to quickly learn new systems.
*Excellent communication and interpersonal skills, with a professional and approachable demeanor.
*Ability to work both independently and as part of a team, demonstrating initiative and a proactive approach.
*Strong time management skills, capable of prioritizing tasks effectively under pressure.
*Discretion and confidentiality in handling sensitive information.
*Previous experience in a financial services, legal, or corporate setting is a plus.
