Job Description:
Juice Recruitment is delighted to be in partnership with a prestigious executive search organisation in Bristol, in their search for an Executive Assistant & Board Secretary to join their expanding team.
You will be supporting senior leadership by managing executive schedules, overseeing board and governance activities, and ensuring regulatory compliance. This role requires an extremely proactive individual, capable of maintaining confidentiality, coordinating complex logistics, and acting as a liaison between executives, board members, and stakeholders.
Key Responsibilities:
* Calendar and Schedule Management: Efficiently manage executive calendars, coordinating meetings, travel, and other time-sensitive commitments to optimize executive schedules. Proactively resolve scheduling conflicts and ensure executives are prepared for engagements.
* Board Meeting Coordination: Plan and execute all aspects of board meetings, including scheduling, agenda development, document preparation, and minute-taking. Ensure minutes accurately capture discussions, decisions, and action items, which are then distributed and archived appropriately.
* Governance and Compliance Management: Ensure board activities comply with corporate governance standards and regulatory requirements. Coordinate filing of necessary documentation with regulatory bodies, keeping governance records accurate and up to date.
* Stakeholder Engagement: Serve as a primary point of contact for board members, executives, and other stakeholders. Facilitate efficient information flow, build positive relationships, and manage sensitive communications with discretion and professionalism.
* Document Control: Organize and maintain corporate documents and records, implementing secure storage solutions. Ensure compliance with document retention policies, allowing for efficient retrieval and safe handling of confidential materials.
* Event and Travel Arrangements: Organize logistics for board meetings, executive events, and offsite sessions. Manage travel bookings, accommodations, itineraries, and expense reports, ensuring all arrangements align with budget and organizational standards.
* Research and Project Assistance: Support executives by conducting research, preparing briefs, and creating reports on various topics or special projects. Compile data and insights to assist in decision-making processes.
* Confidentiality and Professionalism: Handle all sensitive information and communications with the utmost discretion, adhering to confidentiality protocols and demonstrating integrity across all responsibilities.
You will have:
*5+ years experience working as an Executive Assistant for C-Suite level professionals.
*Exceptional Organizational and Multitasking Skills.
*Strong Communication and Interpersonal Skills.
