Job Description:
EA - Maternity Contract
An exciting opportunity to support the Chief Executive Officer (CEO) and Chief Underwriting Officer (CUO) of a global insurance firm based in the City of London. You will be responsible for all aspects of administrative support for the CEO and CUO.
What you will help us do
*Provide calendar management for the CEO and CUO: Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements
*Proactively manage the CEO’s inbox recognising what needs to be dealt with and keeping the CEO on top of tasks
*Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including: assisting with special projects as needed; producing documents, reports, and formatting presentations; collecting and preparing information for meetings, making travel arrangements; and completing expense reports.
*Support the CUO with diary, travel arrangements, expenses and work on any special projects they may have
*Serve as the primary point of contact for internal and external parties on all matters pertaining to the CEO and CUO, including those of a highly confidential or critical nature
*Work closely with the CEO/CUO to keep them well informed of upcoming commitments and responsibilities.
*Anticipate needs in advance of meetings, conferences, etc.
*Work collegially with all EA’s and PA’s across the group to ensure smooth running of the group Exec team meetings and projects
*Support Global Head of HR & Communications where necessary when delegated PA is on leave
*Other projects/duties as assigned for the overall benefit of the organization
What you require for the role
*Significant executive support experience, including supporting C-level executives
*Expert proficiency with Microsoft Office
*Strong verbal and written communication skills.
*Exceptional organizational skills and impeccable attention to detail
*Aptitude to make informed decisions regarding priorities
*Ability to complete a high volume of tasks and projects with little or no guidance
*Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
*Able to maintain a high level of integrity and discretion in handling confidential information
*Excellent judgment is essential
*Ability to switch gears at a moment’s notice
*Open, innovative and inclusive mindset
*Collaborative spirit
