Reports to: Managing Director / EA to Managing Director
Working Hours: Monday to Friday 10am - 6pm, with extra weekend working throughout the festival season onsite as required

Role Description
Festival Republic is the UK’s largest festival and event promoter. The team organises festivals such as Wireless, Latitude, Reading, Leeds, Electric Picnic and Wilderness as well as large outdoor concerts in Finsbury Park, Gunnersbury Park and Crystal Palace Park.
As an Office Assistant for Festival Republic, you will be responsible for providing administrative support to the Managing Director and assistance organising VIP areas at most festivals over the summer. Reporting to both the Managing Director and EA to Managing Director, this role would suit someone who is highly organised with a proactive mindset and who is driven and motivated to work behind the scenes at some of the UK’s leading music festivals.
The team succeeds because we’re all willing to muck in wherever our attention is needed - particularly onsite where we are dealing with ever-changing circumstances. No job is too big or too small.

Competencies / Skills / Knowledge / Experience
*Previous experience in a PA / administrative support role or similar
*Advanced MS office application skills (Word, Excel, Outlook, PowerPoint)
*Confidence in building relationships and communicating with people at all levels of seniority
*Strong written and verbal communication skills
*A problem-solver with the ability to think on your feet, prioritise your workload and implement measures to improve procedures and workflow
*Flexibility and the ability to keep pace in a pressurised environment are essential
*Knowledge of the music/events industries

What the role includes
*General office administration
*Dealing with all general enquiries by telephone, email and post
*Raising purchase orders on the Salesforce system
*Dealing with accounts requests - to find PO’s, check details of payments, check details of costings, ensure new staff complete correct forms
*Management of offsite archive records. Maintaining and managing the ongoing labelling system of archive records for MD’s Office
*Have an understanding of the Starter Form system for temporary staff
*Booking accommodation and travel as required and entering bookings to MD’s diary
*Research and reporting
*Organising service/ MOT/ tax for MD’s vehicle
*Assist with monitoring staff absence and holidays through Workday and maintaining associated files
*Covering for EA to MD when necessary
*Assisting EA in organising, setting up and running VIP areas at various festivals, some travel required
*Processing MD’s expenses
