Job Description:
Our client is seeking a highly organized and proactive Executive Assistant to support the CEO in managing day-to-day
operations and long-term strategic initiatives. This role requires exceptional attention to detail, strong communication
skills, and the ability to handle confidential information with discretion.
Key Responsibilities:
Executive Support
*Manage the CEO’s calendar, including scheduling appointments and coordinating complex meetings
*Organize domestic and international travel arrangements
*Handle expense reports and budget tracking for business-related activities
*Support UHNWI family office work, liaising with and managing assets under family ownership
Communication and Liaison
*Serve as the primary point of contact between the CEO and internal/external stakeholders
*Manage email correspondence, prioritizing and following up on important matters
*Draft professional communications, memos, and reports as required
Meeting Management
*Attend key meetings, take accurate notes, and prepare minutes for distribution
*Track action items and ensure timely completion of tasks discussed during meetings
*Coordinate logistics for meetings, including room bookings and technical requirements
Office and Event Management
*Assist in planning and organizing company events, conferences, and off-site activities
*Manage office supplies and equipment, ensuring smooth day-to-day operations
*Coordinate the use of company vehicles and drivers for business purposes
Document Management
*Maintain an organized and secure filing system for important documents and records
*Ensure all documentation is readily accessible and up-to-date
Qualifications:
? Proven experience as an Executive Assistant or in a similar high-level support role
? Exceptional organizational and time management skills
? Strong interpersonal and communication abilities
? Proficiency in Microsoft Office Suite and Google Workspace
? Ability to handle confidential information with integrity and discretion
? Proactive problem-solving skills and ability to prioritize multiple tasks
? Flexibility to work outside regular hours when necessary
? Mandarin language skills preferred
