Role: Facilities Coordinator
Location: SL3 0HQ
Salary £30,000 to £32,000

Monday to Friday
Must be a driver as travel up & down the country to other sites is required on occassion
The primary objective of the role is to support the day to day smooth running of our facilities, ensuring that all building systems, equipment and services are properly maintained and operate efficiently in accordance with the relevant regulatory frameworks - be it statutory or otherwise.
Support the Compliance and Security Manager with the management of the company facilities to meet quality, environmental, security and health and safety standards in line with ISO 9001, 14001 and 45001 standards.
Act as the point of contact for facility-related inquiries and issues and provide excellent customer service to internal stakeholders.
Receive, prioritise, and coordinate responses to facility-related service requests. Ensuring timely and effective resolution of issues.
Maintain an approved contractor and supplier list in relation to facilities, liaising with contractors and service providers to ensure compliance with service level agreements and the company Third Party Service Providers Safety, Welfare and Security Agreement.
Schedule and coordinate routine maintenance and repairs.
Maintain accurate records of maintenance activities and facility related data
Conduct routine site safety and quality audits and report any hazards or issues found.
Maintain a facilities asset register incorporating assets such as fire fighting equipment, spill response equipment etc.
Assist in and when required investigate accidents, incidents, and near misses, and provide recommendations for corrective actions to prevent future occurrences
Monitor and report on the usage of electricity, gas and water at our facilities to ensure that environmental objectives are being met
Compile meaningful statistics and conduct trend analysis on data relevant to the nature of the business and operations
Conduct any Regulatory, Internal, or Customer prompted investigations to a comprehensive standard, with emphasis on both root and underlying causation, and present findings and actions to management.
Assist in the co-ordination of site evacuation drills and fire alarm testing regime.
Assist in the management of compliance regarding maintenance of essential fire-fighting appliances and alarms, etc.
Assist in the review and implementation of environmental policies and procedures relating to company facilities.
Support Compliance Manager in ensuring compliance with environmental regulations
Adhere to company policy and processes in relation Health, Safety and Welfare.
Keep up to date with changes to regulations and legislation affecting the business in relation to facilities including H&S and the environment.
Act when required as a company delegate (emissary) to stakeholders, authorities and partners eg:
Local Authority - engage and maintain dialogue with essential services such as Slough Borough Council, Berkshire Fire & Rescue Services, Thames Valley Police, Colnbrook Community Association.
Take reasonable care of own Health and Safety and that of others that could be affected by your own actions.
Don’t tamper with or misuse anything provided by the company for the purposes of health, safety or welfare.
Adhere to company policy and processes in relation Health, Safety and Welfare.
Adhere to company policy and processes in relation to Security
Any other task as mentioned by the management
Previous experience in a facilities coordinator or a similar role is essential and should ideally have included sites with warehouse, vehicle workshops and third-party tenant occupancy.
Experience in the use of hand power tools and of fixing minor facilities issues without the help of external contractors.
Proficiency in Microsoft Office applications
Delivery of environmental initiatives, particularly relevant to pollution prevention, recycling and environmental monitoring.
A heightened awareness of security-related initiatives commensurate with an organisation involved in the air-freight (or similar) industry.
Compliance auditing.
Experienced in the use of compliance management software applications.
Numerical accuracy.
