Service Administrator
East Kilbride
£25,000 - £35,000 (Depending on Experience)
Full Time, Monday - Friday, 08:00 - 17:00
We are seeking a highly organised Service Administrator to join a busy and growing utilities company in East Kilbride. The main purpose of the role is to organise and schedule utilities jobs by contacting clients and engineers.
The ideal candidate will be adept at listening to needs of clients, booking job using scheduling software, managing engineer diaries, raising invoices, and handling customer queries with confidence.
This role is central to the smooth operation of the business, and you will ensure that all aspects of administration are handled professionally.
Day-to-day of the role:
*Utilise scheduling software to organise engineer diaries effectively.
*Invoice completed works and manage the company’s mailbox, responding to customer queries promptly.
*Answer the office telephone and discuss job details with clients.
*Source materials as needed for various projects.
*Liaise with insurance companies, ensuring all necessary documents are provided to engineers at the start and completion of works.
*Send detailed reports to customers and update social media platforms with weekly company updates.
*Collate and update spreadsheets with weekly hours worked by tradesmen and manage workflow spreadsheets.
*Communicate confidently with external customers and tradesmen, arranging property access where necessary.
*Provide accurate quotes to customers and demonstrate proficiency in Outlook, Excel, and the ability to adapt to alternative software platforms used by customers.
Required Skills & Qualifications:
*Proficiency in Outlook, Excel, and the ability to quickly learn and use various software platforms.
*Strong communication skills and the ability to manage customer queries effectively.
*Experience in a maintenance, utilities, facilities is highly desirable.
*Ability to multitask and prioritise in a fast-paced office setting.
*A proactive approach to problem-solving and excellent organisational skills.
