Job description - the role
AMS is the world’s leading provider of Talent Acquisition and Management Services. Our contingent Workforce Solutions (CWS) service acts as an extension of our clients’ recruitment team and provides professional interim and temporary resources. We partner with Arup to support contingent recruitment processes. On behalf of Arup, we are looking for 2 x Team Coordinators for a 12 - Month contract based in Manchester. It is a hybrid position.


About the Opportunity:
An exciting opportunity has arisen in our NW&Y Geographies for an experienced team coordinator to provide robust and proactive support to all team members, including leaders. This is a pivotal role within busy teams, and you will make a significant impact on how the team operate and engage with our clients. The successful candidate will become the ’go to’ person within the team, proactively advocating colleagues in winning work, producing quality deliverables, and ensuring smooth operations.

In this role you will:
*Provide close support with tasks such as diary management, management of incoming email and preparation of mail and letters on their behalf, and the organisation of meetings including liaison with your counterpart in other teams and with clients.
*Confidently and professionally liaise with clients and external collaborators both verbally by phone, via Teams and by email. Always maintain a professional outlook whilst delivering with a humane and personal touch.
*Provide general support to the whole team with tasks such as arranging business travel and accommodation, booking meeting rooms with the required AV requirements and refreshments, meeting and greeting clients.
*Attend and take minutes at meetings where requested. You will provide draft minutes for the meeting leader to approve and, where required, liaise with the attendees to see that actions are completed.
*Collaborating with the team in project administrative activities in line with client needs and will include high-profile project work and routine administrative tasks. For example, supporting on workload spreadsheets, gathering financial information for invoicing or supporting the project team in adhering to internal procedures.
*Working collaboratively with project and business development and marketing teams in winning activities - bids, PQQs and preparing documentation such as CVs, project sheets, etc.

Essential Skills and Qualifications:
*Have worked in a similar role, in professional services or a multidisciplinary environment.
*Have worked with standard office administrative procedures and project administrative activities per client needs.
*Have attention to detail, diary management, attending meetings (internal and external) taking notes/actions/minutes.
*Can proactively identify where to assist team members based on prioritisation.
*Can prepare documents and reports for internal or external purposes, proofreading content to ensure consistency and style, editing and making suggestions for improvements to text and presentations, preparing draft PowerPoint presentations.
*Demonstrate sound knowledge of Microsoft packages, including solid PowerPoint skills and ideally SharePoint.
