Job Description:
Personal Assistant
*We are seeking a highly organized and efficient Personal Assistant to support the Managing Director of a dynamic and entrepreneurial property group with exciting growth plans. They are actively involved across multiple sectors of the property industry, including residential and commercial sales and lettings, property and facilities management, investments, land and new homes, and construction projects.
*They pride themselves on being forward-thinking, proactive, and adaptable and no two days are ever the same. You will work closely with the Managing Director and support the day-to-day operations.
*They offer a comprehensive service for landlords, vendors, purchasers, and tenants alike. They work with investors, developers, and business owners across Thurrock, Basildon, Havering and the surrounding boroughs.
*Some form of property background would be preferred and you will need to be a car driver with your own car is essential as their offices are not based near any public transport.
*Xero accounting software experience would be beneficial as part of your role will include sending out invoices and so accounts need to be reconciled and you must be very IT literate.
*This is a permanent, full-time role with opportunities for growth and development within the company.
Personal Assistant
Key Responsibilities:
*Work closely with the Managing Director to manage incoming calls, emails, and appointments.
*Schedule and coordinate meetings and property viewings.
*Handle invoicing, rent collection, and fee reconciliation.
*Liaise with the accountant to ensure accurate bank reconciliations, VAT returns, and payroll.
*Upload property listings, photographs, and descriptions via the CRM system and property portals.
*Chase updates from solicitors and clients; manage file progression.
*Draft and send client letters, contracts, heads of terms, and sales memorandums.
*Support submission of tenders and business proposals.
*Coordinate marketing activities, including ordering and managing property boards.
*Occasionally assist with ordering materials and arranging contractors for ongoing building and renovation projects.
*Ensure the business remains compliant with property regulations and internal policies.
Personal Assistant
Requirements:
*Previous experience as a Personal Assistant, Property Administrator, or Office Manager (preferably within property or professional services).
*Strong communication and organisational skills.
*Confident using Microsoft Office and CRM systems.
*Ability to multitask and prioritise a diverse workload.
*A positive, proactive attitude with a willingness to learn and adapt.
