Blackpool Council are seeking a proactive and organised Administrator to support their manager with marketing activities and provide comprehensive administrative support to our team. This role is crucial in ensuring the smooth operation of the Blackpool Learning Rooms and involves a variety of tasks from handling marketing materials to managing course bookings and providing customer service.
Day-to-day of the role:
*Support the manager with marketing activities, including liaising with other services to create and distribute promotional publications.
*Collect and provide marketing information to the Communications Team; assist in maintaining and updating the Blackpool Learning Rooms website.
*Manage the booking system for courses, meetings, and exams at Blackpool Learning Rooms.
*Provide administrative support during enrolment sessions, celebration events, visits, and tutor meetings.
*Contact learners prior to course start dates via phone and text using the Government Notify Service; follow up with no-shows weekly.
*Input data accurately to assist the manager in meeting funding return deadlines.
*Maintain both manual and computerised records, ensuring confidentiality and adherence to data protection guidelines.
*Handle cash transactions and process payments using the Civica payments system.
*Organise meetings, take minutes, and handle the distribution of minutes and marketing literature across Blackpool centres.
*Update the Government Course Directory and screen signage throughout the building to ensure information is current and correctly displayed.
*Provide customer service on reception for Blackpool Learning Rooms and the Positive Steps Team.
*Act as a key holder for opening/closing the reception area.
*Invigilate exams and suggest potential curriculum activities.
*Respond to customer enquiries daily via various communication channels including Facebook, email, text, phone calls, and face-to-face interactions.
*Manage the selection, ordering, monitoring, and storage of supplies.
Required Skills & Qualifications:
*Proven experience in an administrative role.
*Strong organisational and multitasking abilities.
*Excellent communication and interpersonal skills.
*Proficiency in using computer systems and handling data accurately.
*Experience in customer service and handling cash transactions.
*Ability to adhere to confidentiality and data protection guidelines.
*Capable of using digital marketing tools and updating websites.
