Job Description:
Personal Assistant to Finance Director
*Part-time (25-29 hours per week)
*Location: London
*Starting Salary: £22,222 - £25,777 pro rata (£32,000 full-time equivalent)
We are seeking a Personal Assistant to support the Finance Director within a prestigious organisation. This role is crucial in enabling the department to achieve its strategic and operational objectives by providing comprehensive administrative and organisational support. This position is fixed-term for 2 years, with the possibility of extension or permanency.
Day-to-day of the role:
*Manage the Finance Director’s diary effectively, coordinating and prioritising appointments and liaising with senior stakeholders.
*Prepare meeting materials, compile documents into organised packs, and distribute them to attendees in advance.
*Manage email correspondence, categorise, triage, and file important communications.
*Take minutes during meetings, ensuring they accurately reflect discussions and decisions, and distribute them promptly.
*Assist in quarterly reporting, manage the gifts and hospitality register, and plan departmental events.
*Oversee office supplies and manage contracts for departmental equipment.
*Perform ad hoc duties as directed by the Finance Director and Executive Assistant.
Required Skills & Qualifications:
*Proven experience supporting senior leaders in a personal assistant capacity.
*Proficient in Microsoft Office and digital communication tools.
*Excellent organisational skills and the ability to manage multiple tasks simultaneously.
*Strong communication skills, both written and verbal.
*Ability to work under pressure and meet deadlines.
*Experience in managing a quality service, making effective decisions, and delivering at pace.
