Job Description:
We are seeking a proactive and flexible Personal Assistant to provide comprehensive support within our client. This role involves a wide variety of tasks, focusing on supporting the CEO, Chair, Deputy, and the broader team in the day-to-day operations and the delivery of objectives.
Day-to-day of the role:
*Manage diaries and provide administrative support primarily for the Chief Executive Officer and Chair, as well as the wider team. This includes arranging appointments, venues, and travel while proactively anticipating any complications.
*Assist in meeting arrangements and event planning, including room and catering bookings, logistics, preparing, and circulating agendas.
*Lead support for meetings, including taking and distributing minutes and following up on actions.
*Maintain a comprehensive and efficient filing and documentation system in accordance with data protection laws and confidentiality requirements.
*Assist Team members with organisational tasks such as travel and hotel bookings, and managing expense claims.
*Respond effectively to a wide range of calls, emails, and enquiries, logging relevant information and escalating or flagging issues as necessary.
*Develop and maintain effective working relationships with the Team, and partner organisations, providing administrative support where required.
Required Skills & Qualifications:
*Significant experience in relevant business support roles, such as Executive Assistant, Personal Assistant, or Business Support Officer.
*Proficient in a wide range of administrative skills, including accurate minute taking, event coordination, and inbox and database management.
*Excellent interpersonal and communication skills, with demonstrable experience interacting credibly with senior public and private sector stakeholders.
*Strong IT skills, including proficiency in MS Outlook, Word, and Excel. Knowledge of MS Project (or equivalent) and PowerPoint is desirable.
*Strong organisational skills, with the confidence to work autonomously, flexibly, and at pace to prioritise workloads effectively.
*Ability to work proactively as part of a wider team, supporting colleagues when required.
