?? Position Overview
The General Office Administrator will provide comprehensive administrative, secretarial, and compliance support across the business. This role ensures smooth day-to-day operations, accurate record-keeping, and adherence to company policies and industry standards.
?? General Office Administration
* Provide daily administrative and secretarial support, including document preparation, minute taking, and handling correspondence, calls, and emails.

* Maintain organised electronic and paper filing systems.

* Coordinate meetings, training sessions, and company events.

* Manage office supplies and ensure resources are available.

* Liaise with suppliers, clients, and subcontractors to facilitate smooth communication and accurate document control.

* Deliver ad hoc administrative support across departments to ensure efficient operations.

?? Financial & Administrative Duties
* Process and manage company invoices, ensuring accuracy, approval, and timely payment.

* Handle intermittent claims (ICs), liaising with relevant departments and external parties.

* Prepare and track purchase orders (POs) in line with company procedures.

* Manage and record holiday requests, sickness absences, and other staff-related documentation.

* Maintain employee records in compliance with GDPR and company policies.

? Quality & Compliance
* Assist in maintaining the company’s ISO 9001 Quality Management System.

* Ensure documentation and processes remain compliant and up to date.

* Support internal and external audits by preparing and maintaining required documentation.

* Complete and update Pre-Qualification Questionnaires (PPQs) for clients and tenders.

* Prepare monthly accident and incident statistics to ensure safety and compliance records are accurate.

�? Accreditations & Certifications
* Oversee the control and upkeep of company accreditations, including Constructionline, SafeContractor, and other industry certifications.

* Ensure timely renewals and submission of supporting evidence to maintain compliance.

* Proficiency in Microsoft Office Suite and other relevant software.
