Job Description:
FESTIVAL AND EVENTS ADMINISTRATOR:

Our client is seeking someone with proven experience in event coordination and administration, capable of building strong stakeholder relationships. FESTIVAL AND EVENTS ADMINISTRATOR ROLE:
*Coordinating recruitment, selection and briefing of food traders, ambassadors and 120+ volunteers across festival and public engagement programmes
*Managing trader documentation, health and safety submissions, power requirements, parking allocations and onsite handover to the Traders Manager
*Liaising with production, estates and external suppliers to confirm trader locations, staffing needs, equipment, welfare spaces and operational requirements
*Supporting volunteer operations, including rota creation, welfare, catering, registration, expense support and post-event evaluation
*Coordinating content collection, event scheduling, programming logistics, equipment needs, signage and site dressing ideas with marketing and research teams
*Managing resident communications, including coordinating multi-stage consultation letters and vehicle access pass distribution
*Overseeing storeroom organisation, stock checks, photo inventories, replenishment, laundering of event items and tracking of borrowed equipment
*Supporting Imperial Lates by coordinating set up, pack down, signage production, volunteer recruitment and supervision, information desk operations and hospitality
*Delivering administrative support, including inbox management, meeting coordination, minute taking, system training, data entry and ordering of materials
*Supporting departmental finance processe,s including payments, expenses, budget tracking, reconciliations and providing guidance to colleagues on procedures
FESTIVAL AND EVENTS ADMINISTRATOR ESSENTIALS:
*Demonstrating a minimum of 12 months’ experience in a fast-paced administration role
*Bringing experience working in events or fundraising
*Showing beneficial experience within higher education environments
*Prioritising tasks effectively under competing deadlines
*Working resiliently and maintaining performance at a fast pace
*Communicating clearly with strong verbal and written skills
*Organising workflows efficiently and translating big-picture ideas into action
*Adopting a sweep-the-sheds mentality and contributing proactively to team needs
