Job Title: Front of House / Client Services Assistant
Location: Glasgow City Centre (Office-Based)
Salary: £25,000 with benefits
Hours: Rotational shifts: 8am–4pm / 9am–5pm)
The Opportunity
We’re recruiting on behalf of our client for an organised, proactive and people-focused Front of House / Client Services Assistant to join a busy Team based in the heart of Glasgow. This is an ideal role for someone who enjoys variety, thrives in a fast-paced environment, and loves keeping things running smoothly behind the scenes.
You’ll be working closely with teams across the business, providing essential support that ensures the office operates efficiently day-to-day. This role is office-based, with occasional travel required between the Glasgow and Edinburgh offices depending on team needs, so flexibility is essential.
About the Team
This Team plays a key part in supporting the wider organisation, delivering a range of services that contribute to an excellent working environment. Within this team, the Front of House / Client Services Assistant supports travel bookings, database management, reception cover, telephony support and general client service duties.
Key Responsibilities
*Manage and maintain the online travel booking system.
*Assist with training staff on the travel booking platform and switchboard systems.
*Ensure travel booking procedures are accurate, current and well-documented.
*Maintain the facilities finance database and review invoices for approval by the line manager.
*Fully utilise the telephone system, supporting inbound calls and managing routing as required.
*Provide reception cover when needed.
*Support internal seminars, events and meetings where required.
*Handle enquiries from internal and external clients, ensuring excellent service at all times.
*Keep up to date with staff movements, reference information and team changes.
*Manage call routing during absences and divert phones when necessary.

*Strong organisational skills and attention to detail.
*Confident communicator with a friendly, professional manner.
*Ability to multitask and work effectively in a busy environment.
*Comfortable learning new systems and supporting others with training.
*Flexible, proactive and able to travel between Glasgow and Edinburgh as needed.
*Experience in a similar facilities, client services or front-facing administrative role is essential.
