Job Description:
An exciting opportunity has arisen for an experienced and highly organised Executive Assistant to provide exceptional executive and administrative support within a prestigious performing arts education organisation. We are seeking a proactive, detail-focused professional who will play a pivotal role in enabling the Principal, Executive Leadership Team and Board of Trustees to operate, strategically and in full compliance with governance requirements. This is a central role at the heart of the organisation, requiring a skilled communicator, a confident multitasker and someone who thrives in a fast-paced creative environment.
Role Information:
*Contract type: Full time, permanent
*Salary: £40,000 per annum
*Working Hours: 35 hours per week
*Location: Chiswick
Job responsibilities:
Executive Support
*Provide comprehensive executive support to the Principal and the Director of Finance & Operations, including diary management, correspondence, travel arrangements and scheduling
*Coordinate and prepare documentation, reports, presentations and briefing materials for meetings and strategic activity
*Manage the flow of information between the Principal, Executive Leadership Team and wider organisation, ensuring priorities are addressed promptly
*Support senior leaders with planning, coordination and administrative needs, always maintaining confidentiality and discretion
Governance and Compliance Administration
*Support the Clerk (Director of Finance & Operations) in the administration of the Board of Trustees and its subcommittees
*Assist with preparing agendas, papers and minutes, ensuring accuracy and timely distribution
*Monitor governance compliance, statutory filings, and regulatory-related activity (including Charity Commission, Companies House, DfE, ISI and others)
*Maintain accurate records of governance activity, membership and reporting requirements
*Liaise with the Chair of Trustees to facilitate effective communication with the executive tea
Additional Responsibilities
*Contribute to maintaining high standards of organisational effectiveness
*Uphold safeguarding responsibilities in line with Keeping Children Safe in Education (2024)
*Handle highly sensitive information with professionalism, integrity and care
Ideal Candidate:
*Experience providing high-level executive or senior administrative support within a fast-paced organisation
*Excellent organisational, planning and time-management skills
*Strong written and verbal communication skills, including confident minute-taking
*High IT proficiency across Microsoft Office and digital governance portals
*Ability to work independently, use initiative and manage multiple priorities
*Proven ability to handle confidential information with discretion
