Contract: 3 months could be longer

9-5 Monday - Friday
Are you an experienced Personal Assistant looking for a challenging and rewarding role at the heart of a leading academic institution? We are seeking a highly organised, proactive and professional Personal Assistant to provide comprehensive support to the Faculty Pro Vice-Chancellor (PVC) and the Director of Faculty Operations.
As the public face of the Faculty Office, you will play a key role in representing the Faculty to colleagues across the University and to external partners. You will handle sensitive and confidential information with discretion and build strong working relationships with stakeholders at all levels.
Key Responsibilities
*Act as the first point of contact for the Pro Vice-Chancellor, managing enquiries and correspondence with professionalism and efficiency.
*Proactively manage a complex and demanding diary, arranging meetings, appointments, and travel logistics, and ensuring priorities are met.
*Keep up-to-date with current and upcoming Faculty activities to anticipate needs, provide accurate information, and address issues proactively.
*Coordinate follow-up actions arising from communications and meeting outcomes.
*Work closely with the Director of Faculty Operations to support and manage Faculty-focused meetings.
*Liaise with internal and external partners, including senior representatives from other organisations.
*Take high-quality minutes for meetings, ensuring accuracy and professionalism in documentation shared beyond the Faculty.
About You
We are looking for a highly capable and motivated individual who can work both independently and collaboratively to deliver exceptional support. You will bring:
*Proven experience as a Personal Assistant, ideally supporting senior leaders.
*Excellent Microsoft Office skills, including Word, Excel, Outlook, Teams and PowerPoint.
*Strong problem-solving skills and the confidence to use your own initiative while knowing when to escalate or seek guidance.
*A high level of self-motivation and the ability to work autonomously.
*Exceptional attention to detail and the ability to meet tight deadlines while balancing competing priorities.
*The ability to exercise discretion, maintain confidentiality, and demonstrate sound judgement.
*Excellent communication and customer-service skills—in person, by phone, in writing, and electronically.
*Experience organising meetings involving internal and external stakeholders, including senior-level contacts.
*The ability to take accurate, professional minutes suitable for wide circulation.
