Job Description:
Reed is delighted to be supporting a leading professional services organisation in the search for an experienced Executive Assistant to provide high-level support to their COO and CTO. This is an excellent opportunity to join a dynamic, senior-facing environment where you will play a key role in ensuring the smooth running of executive operations.

Role Purpose
The Executive Assistant will provide comprehensive support to the COO, CTO and wider C-suite leadership team. This role is central to the coordination of senior leadership activities, including diary management, Board and SLT meeting organisation, action tracking, document preparation and stakeholder liaison.
You will work closely with senior internal stakeholders, including Partners, Group Heads and Operations teams, to ensure clear communication, efficient scheduling and effective workflow management across the organisation.
Key Responsibilities
*Full diary management and organisational support for the COO and CTO.
*Coordinating in-person and virtual meetings, appointments and small conferences across the UK and Europe.
*Booking travel and accommodation and preparing detailed itineraries.
*Preparing and compiling Board and Partner meeting minutes; coordinating with the Chair to ensure accurate communication to stakeholders.
*Logging, tracking and chasing meeting and project actions to ensure timely completion.
*Preparing documents, presentations, agendas and reports for Board, Partner and Operations meetings.
*Managing project updates and progress reports in collaboration with senior stakeholders.
*Supporting Group Heads and Office Heads with meeting coordination for the COO, CFO, CTO and other senior leaders.
*Planning and delivering events and meetings, including logistics, travel, catering and accommodation.
Candidate Profile: Essential Skills & Experience
*Experience as an EA supporting senior business leaders, ideally within a fee-earning or professional services environment.
*Proven experience attending and taking minutes at Board-level meetings (essential).
*Exceptional organisational skills, with the ability to prioritise effectively across multiple tasks.
*Professional, confident communicator with the ability to work with tact, discretion and diplomacy.
*Highly proactive, with strong problem-solving skills and the ability to anticipate issues early.
*Ability to understand and adapt to the needs of senior Partners and leaders.
*Experience managing competing demands from multiple senior stakeholders.
*Advanced proficiency in Microsoft Word, Excel and PowerPoint.
*A working style aligned with strong organisational values, professionalism and integrity.
