Our client is seeking a confident and proactive Facilities Co-ordinator/Receptionist to join their Head Office on a job-share basis. This is a varied, busy and rewarding role where no two days are the same-perfect for someone who enjoys being the go-to person in a vibrant office environment.
About the Role
Working front-of-house, you’ll be the first point of contact for staff and visitors, ensuring the office runs smoothly and efficiently. You’ll provide reception cover, support facilities management, and assist with general administration across the business.
Key Responsibilities
*Welcome visitors, issue passes and provide refreshments.
*Handle enquiries via telephone, email and in person with professionalism and warmth.
*Manage meeting room bookings and set up refreshments or lunch orders when needed.
*Ensure coffee machines are functioning across all floors and troubleshoot minor issues.
*Manage deliveries, maintain the ’Goods In’ log and notify recipients.
*Oversee the car park system and maintain up-to-date vehicle records.
*Log and resolve building maintenance issues, liaising with contractors and service providers.
*Coordinate with FM contractors on cleaning services, office plants, PAT testing and more.
*Work with the Health & Safety team to ensure adequate fire marshal and first-aider cover.
*Manage online ordering for office and kitchen supplies.
*Book travel and hotels for staff, ensuring cost efficiency.
*Provide administrative support to the HR team, including training administration.
About You

*Positive, friendly and confident with a strong "can-do" attitude.
*Calm under pressure and able to juggle multiple tasks.
*Well-presented with excellent communication skills.
*Highly organised with great attention to detail.
*IT-proficient, particularly with Microsoft Office.
*Punctual, proactive and a great team player.
