About the Role
Working as part of a friendly and high-performing administrative team, you will provide wide-ranging project, financial and logistical support across multiple research programmes. These projects span areas such as infectious disease epidemiology, child health, vaccine studies, surveillance programmes and collaborative research with international partners.
You’ll act as a key coordinator, ensuring projects run smoothly, deadlines are met and teams have the information and resources they need to operate effectively. This role is ideal for someone who enjoys working across different workstreams, thrives in a mission-driven environment and is confident communicating with colleagues at all levels.
Key ResponsibilitiesProject & Administrative Support*Coordinate all administrative elements of multiple research projects, including travel, visas, scheduling meetings, workshops and conference calls.
*Prepare and collate documents for research grant applications, including budget costings and funder forms.
*Maintain project information systems and contribute to long-term project sustainability.
*Act as a point of contact for funders, collaborators and internal teams.
*Support leadership meetings, large-scale events and regular team communication.
*Provide clear, accurate and timely information to colleagues and external partners.
Financial Administration*Manage project budgets, including multimillion-pound funding lines.
*Draft budget justifications, re-profiles, uplifts and financial documentation.
*Ensure expenditure complies with funder guidance and internal financial regulations.
*Support contract arrangements with partner organisations.
*Review collaborator financial reports and maintain accurate internal forecasting.
*Prepare financial documentation for funders, auditors and internal reporting.
HR & Team Support*Assist with recruitment processes, interviews, contract changes and staff inductions.
*Monitor staffing allocations, funding projections and resource planning.
*Support colleagues based internationally to ensure compliance with organisational policies.
Communication & Reporting*Maintain and update project webpages, communication materials and newsletters.
*Contribute non-scientific content to reports, publications, and dissemination documents.
*Manage publication records and assist with open-access requirements.
Skills & Experience Required*Experience providing high-quality administrative support in a higher-education, research or similar environment.
*Strong experience supporting research projects, including financial management.
*Understanding of funder terms, conditions and costings (e.g. UK, EU, US funders).
*Excellent organisational and time-management skills.
*Ability to monitor budgets, produce costings and prepare clear financial reports.
*Confident communicator with strong written and verbal skills.
*Experience arranging meetings, events and project logistics.
*A collaborative, proactive and solutions-focused approach.
