Remuneration: £27,000 - £28,000
Hours of Work: Site-dependent, up to 40 hours FTE
Reports To: Contracts Manager
ROLE OVERVIEW
Reed in Colchester are delighted to be supporting our client seeking a Contracts Administrator on a full time permanent basis (office based). This position plays a key role within the Contracts Department, supporting the effective growth and retention of planned preventative maintenance contracts.
In this role, you will be responsible for administering contract renewals, preparing new contract quotations, managing customer enquiries, and ensuring all contract documentation is accurate and maintained in line with internal procedures. You will work closely with both customers and internal departments to deliver a professional, efficient, and customer-focused service.
This is a fast-paced, target-driven administrative position requiring strong organisation, excellent attention to detail, and the ability to work independently as well as collaboratively to support business growth.
Key Responsibilities
*Issue renewal quotations and proactively follow up to maximise client retention.
*Respond promptly and professionally to new customer enquiries.
*Prepare and follow up quotations for new and existing contracts.
*Track and follow up outstanding quotations to improve conversion rates.
*Identify potential sales opportunities and pass leads to the relevant internal teams.
*Maintain accurate, up-to-date contract information in line with company procedures.
*Liaise professionally and efficiently with internal departments via email and telephone.
*Deliver courteous, professional communication to all customers.
*Support colleagues with contract-related queries and administrative tasks.
*Carry out additional duties appropriate to the role as required.
SKILLS & EXPERIENCE
Essential
*Proficient in Microsoft Office (Word, Excel, Outlook)
*Previous administrative experience, ideally within a service, engineering, or contract-based environment
*Strong organisational skills with the ability to manage multiple deadlines
*Excellent accuracy and attention to detail

*Organisation & Planning: Manages renewals, quotations, and workload effectively
*Attention to Detail: Maintains accurate contract data and follows procedures consistently

*Commercial Awareness: Understands the importance of securing and maintaining contracts
