Job Description:
Procurement Coordinator
*Job Type: Full-time, Permanent
*Location: Hybrid - 2 days per week in the office
*Hours - 35 hours per week - Monday to Thursday: 9:00am – 5:00pm with a 1-hour lunch break and Friday: 9:00am – 4:30pm with a 30-minute lunch break
*Salary: £28,000 to £32,000 per annum, dependant on experience plus Annual Bonus
We are seeking a Procurement Coordinator to manage the end-to-end procurement process, ensuring efficient operations from raising purchase orders to receipt at the destination. This role requires a proactive individual with strong organisational skills, attention to detail, and a solution-oriented mindset.
Day-to-day of the role:
*Procurement & Order Management:
*Process purchase orders for both stocked and non-stocked goods, ensuring accuracy and completeness.
*Maintain and update procurement systems with accurate due dates and delivery information.
*Monitor supplier performance and proactively report delays, shortages, or delivery issues.
*Manage obstacles in the supply process and propose practical solutions to minimise impact.
*Sign off supplier invoices and resolve discrepancies in collaboration with Finance.
*Inventory & Warehouse Coordination:
*Provide warehouses with inbound shipment information, either manually or via system notifications.
*Book inventory into systems upon receipt and investigate any discrepancies.
*Support stock reconciliation activities, including root cause analysis and corrective action proposals.
*Supplier & Internal Collaboration:
*Build and maintain strong working relationships with suppliers to ensure clear communication and on-time, in-full deliveries.
*Collaborate closely with the Import team to ensure smooth shipment flow.
*Liaise with internal stakeholders to communicate arrival dates for non-stocked goods and manage expectations.
*Data, Systems & Product Knowledge:
*Understand data requirements for product setup and ensure new product codes are communicated in advance to avoid delays.
*Develop strong product knowledge to effectively support internal teams.
*Continuous Improvement & Communication:
*Document internal procurement processes and make recommendations for improvements.
*Provide regular internal communication regarding back orders, delays, and inbound risks.
Required Skills & Qualifications:
*Strong organisational and time management skills with the ability to prioritise effectively.
*High attention to detail and accuracy in data handling.
*Proactive, solution-oriented mindset with strong problem-solving ability.
*Confident communicator, able to work effectively with suppliers and internal stakeholders.
*Comfortable working with procurement systems and Excel-based reporting (experience preferred).

*23 days - increases to 25 days after 2 years’ service, rising from 23 to 25 days (bank holidays on top). Permanent employees also have the option to buy up to 5 additional days of annual leave per year.
