Job Description:
A prestigious multi-family office in London is seeking an Executive Assistant to support its management team. The firm provides wealth management, investment management and family office services to an international client base.
This part-time role (Monday-Thursday) offers flexible working hours within those days and the opportunity to join a collaborative, highly professional environment where your organisational skills and attention to detail will play a key role in supporting the smooth running of the business.
This role will be Monday to Thursday in the London office working to the hours of 10am -3pm with flexibility when needed.
What you’ll do *Provide high-level administrative support to the senior management team including the CEO, CIO, COO and Head of Clients.
*Manage complex diaries and scheduling across multiple time zones.
*Coordinate Board and committee meetings, liaising with Board members and their assistants.
*Organise daily, weekly and ad-hoc meetings, including room bookings, materials and agendas.
*Prepare and circulate meeting agendas, minutes and documentation.
*Draft and proofread correspondence and internal communications.
*Maintain accurate contact databases and internal records.
*Support preparation of reports and Board documentation.
*Manage travel arrangements, itineraries and expense submissions for senior staff.
*Oversee office supplies and general office administration.
*Maintain training records and compliance documentation.
*Reconcile corporate credit cards and assist with invoice processing.
*Liaise with building management and external IT providers.
*Support staff benefits administration and financial record keeping.
*Assist with the organisation of 2-3 corporate events annually.
What you bring *Proven experience as an Executive Assistant / PA within a professional services environment.
*Strong diary management and senior stakeholder support experience.
*Excellent organisation and multi-tasking skills with high attention to detail.
*Strong written and verbal communication skills.
*High level of discretion and professionalism when handling confidential information.
*Proficiency in MS Office (Outlook, Word, Excel) and SharePoint.
*Experience with payroll or finance processes beneficial but not essential.
*A proactive and collaborative approach, with the ability to anticipate needs and support a fast-paced team.
