Newbury, UK

37.5 hours per week

£27,000 to £31,000 per annum dependant on experience


We are seeking a proactive, detail-driven Customer Service Specialist to join our operations team. In this role, you will provide exceptional product and service support, manage customer orders from start to finish, and play an active part in ensuring a seamless customer experience. This position is dedicated to supporting a key client account and requires a high level of professionalism, accuracy, and initiative.


Key Responsibilities
Customer Interaction & Communication
*Respond to customer enquiries via phone and email.
*Liaise with sales representatives and external agents.
*Answer product and service questions, offering guidance on solutions and additional services.
Order & Account Management
*Process customer orders, loans, and consignment bookings using the Cin7 ERP system.
*Track back orders, pricing queries, and quotations.
*Open and maintain customer accounts, ensuring all information is accurate and up to date.
*Prepare invoices following order despatch.
*File and maintain customer documentation and records.
Issue Resolution & Reporting
*Assist in resolving product or service issues by assessing concerns and providing effective solutions.
*Follow up to ensure customer satisfaction and resolution.
*Maintain financial accounts through accurate processing of customer adjustments.
*Compile product/service reports and analyse customer information as required.
Operational & Administrative Support
*Assist with preparing and packing orders within the warehouse environment.
*Ensure all Quality Management System (QMS) procedures and QAPs are followed.
*Contribute to continuous improvement through CAPA processes.
*Provide cross-functional support across relevant internal teams.
*Assist with additional reasonable tasks as required.


Essential Experience & Skills
*Background in the Medical Device industry, specifically with sterile and non-sterile implantable devices.
*Highly effective communicator with a confident telephone manner.
*Strong problem-solving abilities and ability to work both independently and collaboratively.
*Evidence of contribution to continuous improvement, team engagement, and quality-focused processes.
*Exceptional attention to detail and accuracy.
*Strong IT literacy, including Microsoft Office (Word, Excel, Outlook, PowerPoint) and other internal systems.
*Excellent written and verbal communication skills.
*Highly organised with strong prioritisation skills.
*Reliable team player with strong administrative capability and high standards of spelling and grammar.
*Flexible and adaptable to varying workloads.


Highly Desirable
*Experience in a professional office environment.
*Outstanding communication skills.
*A-levels or equivalent qualifications.
