We are looking for an Office & Operations Administrator to work closely with our Office Manager and leadership team — helping keep the firm running smoothly, efficiently and professionally every single day.
This is not a basic admin role.
You will be a key part of the firm’s growth, ensuring the right systems, communication and organisation are in place so our senior team can focus on strategy and client work.
The Purpose of the Role
To support the day-to-day operations of the firm, taking ownership of administrative processes and client coordination, while freeing up the Office Manager to focus on higher-level operational and strategic responsibilities.
You will be the organised, calm, "gets things done" person that keeps everything moving behind the scenes.
Key Responsibilities
Office & Client Administration
*Answering calls and managing client enquiries professionally
*Handling post, documents and digital correspondence
*Maintaining accurate client records and internal systems
*Coordinating client onboarding admin and documentation
Operations Support
*Supporting the Office Manager with internal processes and workflows
*Tracking tasks, deadlines and follow-ups across the team
*Assisting with internal compliance and document control
*Preparing documents, reports and internal communications
Meetings & Team Coordination
*Organising meetings, diaries and appointments
*Preparing meeting packs, agendas and notes
*Coordinating visitors to the Wetherby office
*Supporting internal team organisation and communication
General Office Management
*Ensuring the office runs efficiently and professionally
*Ordering supplies and maintaining an organised environment
*Supporting ad-hoc projects from senior management

Skills & Experience
Essential
*Previous experience in an office or administrative role
*Excellent organisational and time management skills
*Strong attention to detail
*Professional communication skills (phone, email, in person)
*Confident using Microsoft Office (Word, Excel, Outlook)
*Ability to manage multiple tasks and deadlines
Highly Desirable
*Experience in a professional services environment (accountancy, legal, finance, etc.)
*Experience supporting managers or leadership teams
*Familiarity with CRM or document management systems
Role Details
Job Title: Office & Operations Administrator

Type: Full-time, Permanent
Hours: Monday–Friday, 9am–5pm (flexibility considered)
Salary: £28,000 to £30,000, dependent on experience
